Club Policies:
Please take a moment to review our catering policies and procedures. It
would be our privilege to assist you
in planning your event. We welcome the
opportunity to give you a personalized tour of The Crossings at a time
convenient for you. Please feel free to contact Operations Manager, Kari
Huntley at any time with questions
or concerns regarding our Policies.
Date-Hold Fee:
A date hold fee is required for events held at The Crossings at
Montevideo. This fee confirms the reservation, closes the venue to the
public, guarantees the booking, is non-refundable, and will not be applied
to the final
bill. The Date Hold Fee varies for each event. This fee is also reduced
for any event that takes place on a Friday or Sunday.
Payment:
Payment is due in full immediately following the event, unless other
arrangements have been made. We accept Cash, Check, Visa, Master Card
or Discover.
Direct billing can be arranged with prior approval from Kari.
Direct
billing
is not applicable to social events such as weddings, anniversaries,
birthdays, or reunions.
Seating:
The Crossings Clubhouse can seat a maximum of 265 people.
Guarantees:
Confirmation of the final head count must be given to Kari at The Crossings
by 12 Noon, 15 days prior to the event. The Crossings has a 90% guarantee
policy. You will be charged a minimum of 90% of the guaranteed head
count. If a guarantee is not submitted, you will be billed for the
estimated number of guests agreed upon during the initial
meeting/conversation. We will not be prepared to serve more than the
guaranteed number of guests. Menu selections must be submitted no later
than 3 weeks before the event.
Food and Beverage Policy:
The Crossings at Montevideo must provide all food and beverages. Absolutely
no food or beverage from an outside source can be brought onto the promises
at anytime. The only exception being commemorative cakes
from a licensed baker in which The Crossings will cut and serve your cake at
a cost of $50.00. Due to MN Health Department regulations and Club policy,
we prohibit the removal of beverages or extra food from the premises.
Bar Service:
Bartenders are furnished at no charge. Host bars are subject to 15%
gratuity. There are many options to fit your needs. You will discuss this
with Kari on your initial meeting. If you provide Keg beer for your guests,
the keg will be tapped just prior to guest arrival. There is a limit
of one keg per event.
Options of Bar service to think about: Cash bar, host Bar, drink
tickets, dollar amount, champagne toast, wine table, complimentary soft
drinks, punch, keg beer, root beer keg.
Alcohol Consumption:
We request that you assist in requiring responsible behavior with regard to
alcohol consumption. We reserve
the right to refuse service to anyone under the legal drinking age, to any
guest who appears to be intoxicated,
or provides alcohol to guests who are underage. Valid picture
identification cards will be requested of any
and all persons who appear to be under age 21. Alcohol consumption must end
at 1:00am.
Set-Up:
As the host of your event, you will be allowed in the banquet room 2 hours
prior to the event. If it is a
wedding, arrangements will need to be
discussed with Kari. You are responsible for the set-up of all center
pieces not provided by The Crossings. The Crossings staff will take care of
all linens and table settings.
Entertainment must
be set up before the arrival of your guests. All entertainment must end by
1:00am.
Decorations:
The Crossings at Montevideo will not permit the affixing of anything to the
walls, floors, or ceilings with tape, nails, staples, unless management
gives approval. Confetti and glitter is not allowed. For your convenience
we offer votive candles and holders at a cost of $3 each and mirror tiles at
a cost of $2 each.
Cancellations:
Any event cancelled within seven (7) business days prior to the event are
responsible for 100% of the estimated bill. Cancellations must be received
in writing.
Pricing:
The prices on all of The Crossings menus are subject to change. A price can
be confirmed 45 days prior to the event.
Sales Tax and Service Charge:
All Food, Beverage, and Services are subject to 6.875% Minnesota state sales
tax on food and 9% sales tax on Liquor, and 15-18% service charge. (Or
current tax rates as applicable by law.)
Additional Expenses:
Additional cleaning charge of $100.00 will apply if the following occurs:
Confetti was used in decorating,
and was not cleaned up by decorators,
candle wax that drips on linens and/or carpet. Extensive damage to
linen
such as cuts, burns, or holes from burns. If a guest overindulges in
alcohol and becomes sick and the
staff must clean up after them.
Disclaimer:
The Crossings at Montevideo will not assume any responsibility for damage or
loss of any merchandise or articles left on the
premises before, during, or
after your event. All decorations and equipment provided by your party must
be removed at the
conclusion of your event unless prior arrangements have
been made.
I
have read The Crossings at Montevideo Club Policies and agree to all
Procedures.
I
also understand that I am fully responsible for 90% of the guaranteed head
count when a plated or buffet style meal is ordered.
